PERFEQTA: Transforming Daily Operations and Improving Quality


PERFEQTA, a cutting-edge quality management and workflow software, is the world’s first solution to combine business process and workflow automation with proven methods for quality control and compliance. CEO and founder Max Doleh was inspired to launch the company after his first visit to the Oklahoma Blood Institute, where he observed staff spending an extensive amount of time using paper and white boards to track blood units and quality control status. Despite having custom-built systems, Doleh noted the disconnection and identified major gaps in the workflow.

“I saw an opportunity for greater efficiency. We started working with them on platelet qualification and blood product quality control, and as we dug deeper and spoke with other blood centers, we realized the problem wasn’t unique to them,” Doleh said. “The entire blood field, being small and comprising nonprofit organizations, had limited access to specialized tech solutions due to low margins and limited market, and hence not as attractive for tech companies to build software for.” 

Doleh noted his team shifted their focus from building applications for the financial industry to life sciences and creating technology that directly impacts human lives. The platform was designed to meet the unique needs of life science organizations, blood banks and laboratories.

“What really drew me in was the commitment we saw in blood banking. People have stayed in this field for decades. That kind of dedication is rare in tech or finance,” he said. “These professionals dedicate their lives to helping patients, and we all know how vital blood is. We aim to support people who are driven by purpose, not just profit.”

Doleh launched PERFEQTA in 2005 with a mission to democratize technology, save time and improve efficiency. Soon after, this approach was applied to ensure safer blood through better quality control. Since its inception, PERFEQTA has evolved from focusing on blood product quality control to becoming a platform that replaces paper, spreadsheets and outdated systems.  

“Our focus is deeply rooted in life sciences and blood banking. We study emerging regulations, like the latest FDA AI guidance, and tailor our technology accordingly,” Doleh said.

The company supports a wide range of quality management solutions that address pain points for blood banks and labs, including document control, training management, corrective and preventive actions, incident reporting, risk management, competency assessment, equipment calibration and maintenance, supplier qualification, reagent control, task tracking and change management.

“We help organizations improve quality by consolidating siloed systems into one unified platform,” Doleh said. “Our goal is to ensure work is done accurately, consistently and efficiently. With our AI integration, customers now gain insights, boost productivity and reduce errors without spending a fortune.”

Key Solutions

Doleh noted the PERFEQTA's quality management and workflow software has led to significant improvements in reducing errors and improving efficiency. Several customers, including LifeServe, Hoxworth Blood Center, Vitalant and MD Anderson Cancer Center, have reported a notable impact on daily operations, citing increased productivity, improved workflow management and cost savings after deploying the software.

“If you’re moving from paper or Excel, error reduction is immediate, because it’s built into our DNA,” he said. “Paper doesn’t give feedback, and errors can still slip through with peer review. Our system provides real-time alerts, data validation and anomaly detection to catch mistakes before they happen.

Doleh highlighted new AI features tailored to life sciences and laboratories that enable the platform to delve deeper to identify trends, flag abnormal entries and surface issues before they become critical. For example, if a piece of equipment is being overused, the system can suggest more frequent maintenance, even if the current SOP doesn’t require it. “That kind of proactive insight wasn’t possible before,” he pointed out. “So instead of just reacting to problems, our software helps prevent them, leading to safer outcomes and better compliance.”

PERFEQTA ’s approach, Doleh noted, is to set its own path and evolve based on customer needs rather than market trends. He added that self-sufficiency and flexibility are core philosophies that differentiate PERFEQTA from other compliance platforms in the health care landscape.

“We see ourselves evolving by becoming even more integral to our customers' operations and success,” Doleh said. “We prioritize what matters most to our customers, and we train them to manage the platform themselves. As processes change or new regulatory guidelines come out, we provide the fastest way for customers to adapt and make changes without waiting for our team or paying extra.”  

One key feature for labs and blood banks is real-time access to insights and data, which is designed to help users discover overdue tasks or incomplete processes that could affect audits. The platform recently launched enhanced task management to ensure critical tasks don’t slip through the cracks.

“When an auditor walks in, you don’t want 50 overdue tasks showing up. Our tools help the whole team stay on top of responsibilities without relying solely on supervisors,” he said. “Our goal is to make the software a supportive tool and more of a democratic, community-based system. We want it to feel empowering, not burdensome.”

Doleh, who attended his first AABB Annual Meeting in 2009, credits AABB for educating him about blood banking and keeping him informed about the challenges facing the field. His team has worked with AABB as both a partner and a vendor at Annual Meetings, collaborating with accomplished leaders throughout the field. Doleh spoke to AABB News about PERFEQTA's audacious goal to save its customers 1 billion hours throughout the next decade. To do that, PERFEQTA will focus on improving its product and understanding how customers work today and how much time they can save by adopting its solutions. Blood banking professionals shouldn’t be bogged down by inefficient systems or manual workarounds, he pointed out.
